Space only Stand Information

Space Only – Definition

A Space Only stand is a marked-out area on the hall floor on which your stand can be built.

Space-only stands must fit entirely within the space purchased. Materials used in the construction of stands, features and displays, including signs and fascia must be:

• Of a suitable nature and quality for the purposes and conditions of their intended use.

• Adequately prepared and fixed in order to adequately perform the functions for which they are designed

• Non-combustible, inherently non-flammable or durably flameproof, in accordance with BS476- Part 7. Water based, where applicable, e.g. adhesives and paint.

It is the Exhibitor’s (or their appointed stand builders) responsibility to ensure that all staff and contractors have received suitable and sufficient information, instruction and/or training on any hazardous substances which form part of the stand build and or stand exhibition.

You must ensure that the correct protective clothing and equipment is provided (and worn) to enable them to carry out their work in a safe manner in accordance with CoSHH.

• Flammable liquids and substances must be used and stored safely and segregated from waste and other risk areas.

• Chemicals and flammable liquids must be removed from the exhibition venue after use by the user. Such products must not be placed in general rubbish bins or skips.

Stands should be designed to ensure that it is not unreasonably difficult for a disabled person to access the stand as required by The Equality Act.

Carpet & Flooring:

Carpet & Flooring is not provided for Space Only stands – you can order carpet from Creative Live, in a range of colours.

To order flooring, please complete and return the order form via the E-Zone.

Please submit your order as soon as possible to guarantee delivery. Only limited spare carpet will be brought to site and it will be available on a first come first served basis.

Onsite orders will be subject to a 20% surcharge.

Floor coverings must be secured and maintained so that they do not cause a hazard. Fixing of floor coverings to the hall floor may only be carried out using venue approved tape. The venue will only approve exhibition tape which has a low tack bottom, high tack grab top and does not leave any residue or cause any damage to the floor when removed. Other forms of fixing to the hall floor, such as cable clips, nails and bolts are prohibited.

Any exhibitor found not to be using this will be charged for the cost of removal & cleaning. 19 Electrics & Lighting: Electrics and lighting is not included in the space only stand price so all electrical work must be carried out and/or connected via our official electrical supplier, Creative Live.

Orders should be placed by 6th February – a 20% surcharge will apply for orders received after this time.

Space-only exhibitors are required to submit Design Plans, a Risk Assessment and Method Statement to standaudits@krmsafety.management by 6th February.

Construction Regulations

The maximum build height for Space Only Standsis 4m.

• Space Only Stand Adjoining another Space Only Stand: Exhibitors on part-island sites have an obligation to provide acceptable partition walls between themselves and their neighbours. No walls will be provided by the Organiser between adjoining Space-Only sites.

Where Exhibitors are building individual walls, they must liaise with adjacent Space-Only exhibitors to ensure that if one wall is higher than the other, the over-height visible back and/or sides of that wall is finished in a neutral colour and to a standard acceptable to the Organisers. Such areas should not include graphics, logos or company information.

• Space Only Stand adjoining a shell scheme stand: Any walls that are built above the height of the shellscheme (2.5m) must be in a neutral colour and to a standard acceptable to the Organisers. Such areas should not include graphics, logos or company information.

• A minimum of one third of any front is to remain open: Open sides may not be entirely blocked off.

• Logos and branding are not permitted to the rear face or partition walls when these walls overlook a neighbouring stand.

• Exhibitors will be charged for making good any damage to the hall such as paint marks, tape, bolt/screw/nail/staple holes etc.

• Any construction that backs onto a gangway must be finished on the reverse.

• Space Only exhibitors are responsible for examining their allotted stand space and ensuring their stand is built on the correct markings. If you are in any doubt, please inform the Organisers Office onsite and our Floor Managers will be happy to help you.

• You are not allowed to fix to the fabric of the building or to sprinkler pipes.

• Allstand construction must be completely self-supporting.

• The Organisers and Hall Fire Officer will inspect stands during build-up and they may remove any offending materials or close a stand if they do not comply with regulations. 20

• The construction material for all stands, signs and fascias must be non–combustible material, inherently non-flammable or durably flame proofed.

• Electrical mains boxes must be concealed in suitable housing. Exhibitors are not permitted to leave their mains supply on the venue floo

Space only Stands Complex Structures

Any stand that includes any of the following will require structural calculations and a structural engineer will be appointed to sign off the build once complete onsite – the organiser will appoint the structural engineer, but the exhibitor will be responsible for covering the cost of this:

• Platforms or stages of 600mm or higher

• Any part of the stand that exceeds 4m in height (measured from hall floor so includes any raised flooring)

• Tiered seating

• Multi-storey builds • Suspended items over 400 kg

• Travel distance of over 15 metres

• A stand requiring foundations.

• Sound/lighting towers Permission to build any complex structure will not be given until the following items have been provided: 1. Detailed,scaled drawingsshowing: • Plan views of each storey of the stand.

• Sections through each storey of the stand.

• Elevationsincluding fullsteelwork and staircase details.

• Width position of gangways within the stand.

• Floor and / or roof loadings.

• Specifications of materials used.

2. Structural calculations

3. Risk assessment (to include fire hazards) and method statement

4. Written confirmation from an independent structural engineer, with adequate professional indemnity cover, that the design is safe for its purpose.

The inspection certificate must be completed and submitted once the structure has been built.

Structural engineer costsfor providing calculations and sign off onsite are at the exhibitors’ expense.

Exhibitors should submit 1:200 scaled drawings, structural calculations, risk assessment and method statement to standaudits@krmsafety.management by 6 th February 2025.
